How to document your fight record so it can be verified

To document a fight record properly, keep one file per bout with the official result, the event details, the method, round and time as officially recorded, and a contact who can confirm it. Collect it within days of the fight: evidence gets harder to find every month.

Most athletes remember their fights clearly and their paperwork not at all. When they apply for a ranking, they discover that the promotion's website has gone, the organiser has changed phone numbers and the only record is a blurred photo of a poster. A verified ranking depends on evidence, so the best time to build your record is the week after each fight.

One file per bout

Create a folder for each bout, named with the date and event, for example "2026-05-16 Istanbul Open". Inside, keep:

  • The official result sheet or bout card (PDF or clear photo).
  • A screenshot and the link of the published result on the organiser's or federation's website.
  • The fight poster or official card showing the bout.
  • Any medal, certificate or diploma.
  • A short text file with the details listed below.

The details to record

What to write down for every bout
FieldExample
Event nameInternational Kickboxing Open 2026
Host city and countryIstanbul, Turkey
Event date16 May 2026
Organiser / sanctioning federationName of the promotion and federation
Discipline and rulesetKickboxing, full-contact rules
CategoryProfessional
Bout weight70.4 kg (official weigh-in)
OpponentFull name as on the card
Result and methodWin, TKO (referee stoppage)
Round and timeRound 2, 1:47
Tournament resultRunner-up / none
Contact personEvent director, e-mail and phone

Use the official wording. If the sheet says "TKO", do not write "KO"; if it says "split decision", write that.

Why each item matters

The branch officer verifying your application will try to match every field against an independent source. A result link proves the result is public; a contact person lets the branch confirm what is not public; the date and event name let KBN find the event in its register and apply the correct level. Mismatches are the most common reason for delay.

Organise for the application

When you apply, the wizard asks for the same fields for each bout, then six evidence uploads: identity, portrait, bout records, official results, certificates and supporting links. The easiest approach is to combine your bout files into one PDF per upload slot, in date order, and name it FULLNAME_COUNTRY_DISCIPLINE.pdf.

Old bouts and the 24-month window

You can submit older bouts: they stay on your verified record. But results older than 24 months score zero in the active ranking, and results between 12 and 24 months old score half. Focus your effort on the last two years, and keep documenting new bouts as they happen.

How ranking points expire โ†’

Mistakes that delay verification

  • Linking to a promotion's home page or social media profile instead of the specific result.
  • Uploading a result sheet with the opponent's name cropped out.
  • Declaring a bout weight that does not match the official weigh-in.
  • Listing a tournament placement without evidence of it.
  • Submitting bouts from the same event as separate events.
  • Using a nickname instead of the name on the official card.

If an organiser cannot be reached

Sometimes an event genuinely disappears. Provide everything you have and explain in the evidence description. A national federation letter, an official's written confirmation or the opponent's own verified record can help. The Ranking Committee decides cases the rules do not cover, and may reject a result that cannot be verified; it will not accept a result on your word alone.

Honesty matters: false or altered documents lead to rejection, removal of points, licence suspension and disciplinary action.

A simple system that lasts

Keep a master spreadsheet alongside your folders, one row per bout, with the fields above plus a column for "evidence collected" and "submitted to KBN". Update it the week after each bout. Back it up somewhere other than your phone.

Ask at the venue

Evidence is easiest to get on the night. Before you leave the venue, ask the officiating supervisor or event director how results will be published and for a contact e-mail. Photograph the result board or sheet if it is displayed.

Scenario: rebuilding an old record

An athlete with 15 bouts over four years decides to apply. The practical approach:

  • Start with the last 24 months: only those results score points.
  • For each of those bouts, collect a strong evidence item and a contact person.
  • List older bouts too, with whatever evidence exists: they belong on the verified record even though they score zero.
  • Ask the national federation for a letter listing results it holds.

Frequently asked questions

QIs a social media post from the promotion enough evidence?
A

It can support a result, but it is weaker than an official result sheet or a result published on the organiser's website. Include a contact person who can confirm it.

QCan I submit a video of the fight as evidence?
A

Yes, as supporting evidence via a link. It helps show the bout happened, but the official result still needs to be confirmed.

QShould I include losses?
A

Yes. Your verified record includes losses, and each approved loss still earns participation points.

QHow far back should I go?
A

Include everything official, but only results from the last 24 months contribute points.
